Highway Hill Terms and Conditions

In these terms and conditions, the following terms mean:

“we” “our” “us” means Highway Hill Ltd, company number 0989 2303, registered office: The Barnyard, Highway, Calne, Wiltshire, SN11 8SR.

“you” means the person or persons whose name and address are set out in the Booking Application. “Accommodation” means the accommodation at Highway Hill confirmed as available in a Booking Confirmation email from us.

“Booking Application” means either a booking request form (accompanied by the relevant payment) or an online booking application (and relevant payment) via our website or a third-party website requesting Accommodation on the dates specified.

“Booking Confirmation” is an acceptance by us to you in writing (email or hard copy) of a Booking Application made by you.

“Visit Period” means the period set out in the Booking Confirmation.

“Site” means the Barnyard at Highway Hill to which access is available for those who have booked Accommodation shown on the map at the Site and on the website.

“Site Rules” means the guidelines designed for your safety and comfort sent to you as part of the Welcome Pack and displayed on Site.

“Party” means together you and the persons named on your Booking Application and any visitors to the Accommodation during the Visit Period.


1. Agreement

  • On the date on which a Booking Confirmation is issued a contract is made between you and us on these terms and conditions for the rental of the Accommodation for a
  • This agreement is personal to you and us and cannot be transferred by you. However please see the section “Changing your booking”.
  • We reserve the right to request the dates of birth of all persons proposed to be in your
  • In our absolute discretion without giving any explanation we may refuse to issue a Booking Confirmation.
  • If we do not issue a Booking Confirmation, we will return to you any monies you sent to us with your Booking Application.
  • We allow your Party to occupy the Accommodation and to use its contents for the Visit
  • The maximum number in your Party must be as set out in the Booking
  • In the month of July 2020, any booking made by a Blue Light Worker will receive a 40% reduction. This 40% reduction only applies to stay book for the month of July
  • To qualify for the 40% discount you will need to provide two forms of identification: Blue Light Worker card plus either a passport or household bill with your name and address on
  • Family and friends of Blue Light Workers are only eligible to stay if they are part of the booking made by the Blue Light Worker. Maximum of sixteen
  • This offer is subject to availability in July
  • At point of booking there will be a £50 deposit taken to cover damages or losses. If damages or losses occur over the £50 deposit, we will seek to resolve amicably. If a resolution is not sought, then legal proceeding will be instigated. If no damage or losses occur, your £50 will be refunded within 7 working days.

2. Cancellation by you

If you want to cancel your booking, please tell us immediately by telephone and then send a confirmation email or letter. The beginning of the cancellation period starts at the next Highway Hill working day, in other words, from 9 am to 3 pm Monday to Friday. If you cancel, we will incur extra administration costs and we might not be able to re-let the Accommodation. We will make refunds as follows:

The time between the beginning of the cancellation period and the first day of the visit Refund amount
From receipt of your 20% deposit or full payment to one calendar month No refund of your 20% deposit. This can, however, be reallocated to your new booking, see “Changing your booking” and is at our discretion.
10 full working days to one calendar month 50% refund
10 working days or less No refund

Please see “Changing your booking” for more details on how to amend your dates to a different time. Please note if you start your holiday with us and then leave early no refund is payable.


3. Cancellation by us

In circumstances that are outside our control, for example, adverse weather maintenance issues, we may have to cancel your booking. If we do so we will tell you as soon as possible and you can either have a full refund or accept alternative dates, but you will have no further claim against us for any losses.


4. Force Majeure

Highway Hill are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your Booking as a result of circumstances beyond our control. Such circumstances shall include (but will not be limited to) war, terrorism, serious crime, industrial action, flooding, natural disaster, epidemics, or such similar events (“Force Majeure”). We recommend that you have adequate holiday insurance in place to cover this.


5. Changing your booking and Flexible Rebooking Policy

  • There will be no charge for minor changes to the details of your booking for example the name of one of your Party.
  • If you request a major change such as change of date or change of accommodation, we will do our best to accommodate the request, and if we can there will be an administration charge of a minimum of £10. Change of dates within one calendar month prior to the first day of your Visit will incur charges (see “Cancellation by you” above).
  • Flexible Rebooking Policy – In the event of cancellation due to Coronavirus restrictions or for self- isolation, the customer has the flexibility to move the booking to alternative available dates within 18 months of the start date of their holiday (the ‘flexible rebooking policy’) with no additional charges. If the customer chooses a date where the same accommodation is only available at a higher price, the additional prevailing rate for the stay will be due. The flexible rebooking policy is only available for cancellations related to genuine Coronavirus restrictions. Flexible rebooking is not available for cancellations related to weather or other
  • Cancellations – Due to the flexible dates offering, the low deposit, and late balance payments, no refunds are available to the customer on any funds paid to the campsite (either the deposit or the balance). If the customer fails to pay the balance by 10 days prior to the holiday start date, the deposit may be deemed to be forfeited by the campsite and the booking cancelled. In such an event the flexible rebooking policy will no longer
  • – Cancellation Insurance – We recommend additional cancellation insurance to cover in the event of cancellations other than Coronavirus restrictions.

6. Prices

Prices are correct as we publish them, but we reserve the right to alter or correct them before a Booking Confirmation is issued. We reserve the right to change prices to reflect any change in the rate of VAT or if any further taxes become applicable.


7. Accessibility

We are a country site with uneven terrain, animals, and heavy vehicles. We aim to provide services that are as accessible as reasonably possible, so it is important that you tell us of any needs or requirements on the Booking Request Form being submitted. Please telephone us to discuss if necessary.

We try our best to meet any reasonable special requests but cannot guarantee that we will be able to do so. Any special requests identified on the Booking Request Form are not a condition of booking.


8. Pets

We are sorry. We already have animals on-site so we cannot accept any pets at present.


9. Arrival and Departure Times

You may check-in from 2 pm on the day of arrival. We cannot guarantee that a member of staff will be on-site to greet you, but you will be sent details of access to the relevant key safe in advance of your visit. Departure is prior to 10 am on departure day.


10. Accommodation

  • You agree to leave the Accommodation and its contents in a clean and tidy
  • You are responsible for all payments and for any damage caused to the Accommodation or/and its contents by any of your Party.

11. Smoking

Smoking, including E-cigarettes, is forbidden inside all our accommodation. Two dedicated outdoor smoking areas are provided with ashtrays.


12. Behaviour /warning signs /Children/Site Rules

You are responsible for the safety, welfare, and behaviour of all your Party.
Deepwater is on Site and children must not be allowed near it unless supervised by you. All warning signs on Site, speed limits, and Site Rules must be observed at all times. You must use all shared areas in a responsible and considerate manner.


13. Vehicles

Parking is only allowed in designated areas. Vans, commercial vehicles, boats, or trailers can only be on-site with our prior written consent which we can withhold without giving any reason.


14. Limitation of Liability

  • We are not liable to any of your Party for:
    • Loss or damage to any bicycles or vehicles whilst on Site. Please bring your own bicycle locks and use the dedicated undercover bike storage
    • Any loss or damage to any personal
  • We are only liable for illness, injury, or death of any of your Party if it has been caused by the negligence of any of our employees, agents, or
  • In all cases (except personal injury or death as in 14.2 above) our liability to you for the total cost of all claims arising out of your holiday with us is limited to the cost of the booking less any cancellation amendment or other charges. We are not liable to you for any matters which result from any unforeseeable events or events which are beyond our control.

15. Complaints

We hope that you will have a truly memorable holiday with us. However, if any problems arise please tell the site office immediately whilst you are still on holiday with us. We can only take action on any complaint if you tell us about it while you are here so we can try to resolve it with you. If we cannot resolve it whilst you are here, you must write to us as soon as possible and within 28 days after the end of your holiday. 16. Marketing information

We take every care to make sure that the details on our website are correct when we publish them. We reserve the right to make changes to suspend or withdraw any services advertised on the website.


17. Drugs

We operate a no-tolerance policy on drugs. Anyone found taking illegal drugs or other illegal substances will be asked to leave the Site immediately and no refund will be issued.


18. Dangerous items

No shotguns, firearms, sparklers, fireworks, knives, archery equipment, or illegal substance, or similar items may be brought onto the Site.


19. Noise and neighbours

We are a quiet rural location with neighbours living nearby. We, therefore, ask our guests to respect our neighbours at all times and to keep noise levels to a minimum between 9 pm and 9 am.


20. WI-FI

Wi-Fi is only available near the kitchen, office/reception, and Hayloft Venue area and is not guaranteed.


21.

This agreement is subject to English Law and the exclusive jurisdiction of the English Courts.


22. Data protection

Your contact information and other data will only be used for the purpose of your booking and will be stored securely on encrypted servers and/or locked cupboards for hard copies. By booking, you are giving us consent to contact you about that booking. Your data will not be given to or available to third parties and will only be used for the purposes of your booking. You will not be added to our mailing list without your explicit consent.
